    Welcome

    Erik Woodbury welcomed the committee back from the holiday. This was Week Nine. There will be 2 more meetings before the end of the year. He thanked the committee for all their work this year.

    Erik reminded representatives to complete their report out.

    Alicia Mullens moved, Sherwin Mendoza seconded to approve both minutes and agenda. No objection. Agenda and minutes approved by unanimous consent.

    Need one At-Large Member.

    Tenure Review Committee At-Large Faculty members

    Highly needed! Please volunteer! 

    Help recruit. Very rewarding with little commitment relative to the amount of credit received. 

    Shagun Kaur: Currently, there are 4 volunteers. They have never had such a small pool of volunteers. Need 12 to complete the tenure review committees for the new hires. The committees have to be ready and start meeting within the first two weeks in the fall.

    Volunteer or recruit people to get involved in leadership.

    At-large members will need to complete the J1 and Tenure Training, if not completed yet. Tenure Committee training can be done on Opening Day. Will need retraining if there has been a more than 2-years gap in serving. Retraining is available online.

    There was a question regarding Manija Ansari serving on the committee. Manija Ansari is in Phase III Year 3 of her tenure review process. 

    Dean Michele Lebleu Burns believed that Manija Ansari brings in unique experience in working with ISP students and veteran students. Many ISP and veteran students utilize the Mental Health Wellness Center.The language in the hiring manual says,
    “A search committee will normally include a majority of tenured faculty who are experts in the discipline or a related field…When clear and compelling academic and or professional circumstances warrant other faculty… contract and part-time faculty may be included on the search committee after consultation between the President of the Academic Senate and the College President.”EO rep to be assigned and approved by HR. 

    Alicia Mullens moved to approve the committee, Mary Pape seconded. Yes 17, No 4, Abstain 2. Motion passed.

    Campus Climate Survey Reminder

    The Foothill-De Anza Community College District is administering a survey on employee perceptions of institutional and campus climates through the RP Group, an independent third party.

    Please complete the survey. Encourage your constituents to participate. The survey should only take 15 - 20 minutes. All responses are confidential. The data will guide the college to develop initiatives moving forward.

    Please also tell students to complete the student survey.

    Graduation: 

    There has been some confusion over ordering regalia from the bookstore.

    Contact the Communications Dept to reserve regalia and seating for faculty. Deadline extended to Tuesday 6/3 5 pm. There will be no cost for faculty for regalia.

    Credit for Prior Learning (CPL) MAP List.

    MAP stands for Mapping Articulated Pathways.

    The articulation officer has worked with specific departments and discipline specialists to finalize a list of De Anza courses that qualified for credit by exams or industry certifications. These courses and their equivalency have been published in the course catalogue since 2021. It was noted that the UC’s will only accept credit by exam for transfer. 

    Someone suggested having different symbols to identify the credit for prior learning by exams or by certifications.

    Mary Pape moved to approve the list, Barbara Dahlke seconded. No objections. Approved by unanimous consent.


    Shared Governance Reflection Survey

    Each year the shared governance groups complete a survey to reflect upon their work for the year. What are they doing well? How can they improve? Who are they serving? How are they serving them?

    Senators were asked to reflect and get feedback on the Senate work for discussion in the next two weeks.

    There were some general comments on the following questions and format of the survey:

    Reflecting on our work:  how did our work help fulfill our vision, mission, values, strategic initiatives, institutional core competencies, and commitment to equity?

    Reflecting on our group's processes and practices: please identify what has been working and what changes we plan to implement over the next academic year.

    Reflecting on our ability to disseminate information to our stakeholders: what are some strengths and weaknesses? How can we improve our processes for information dissemination next year?

    Other challenges our committee faced this year: are there any resources that could help support the committee?

    As we are engaging in a strategic planning process over the next year, all areas will be asked to set goals, monitor their annual progress.

    Looking ahead, what is one goal your governance group could work on to help the college meet its mission and goals.

    People were asked to focus on one of the above questions/topics and bring back their thoughts for discussion next week.


    BP/AP 4230- FW Updates

    BP = Board policy, AP = Administrative procedure. 

    During the recent accreditation process, there was a note for the district to evaluate and update these policies that is long overdue. The district has hired a consultant to review and have established a schedule to update these policies.

    First, the consultant, the faculty union, and their legal team have looked at them and gave their feedback. Then, it goes to Academic and Professional Matters, APM, a district committee. After their review, it goes to the presidents, followed by the Senates for further comments and feedback.  The draft and Senate comments will go back to APM for final revisions.

    BP/AP 4230, Grading and Academic Record Symbols

    This is the first read, the Senate will bring it back for discussion and feedback on these updates next week.

    BP 4230 changes include removing FW. A new change may be adding a symbol for Credit by Exam (CX) and a symbol for Credit by Prior Learning (CPL). AP 4230. Remove FW and for F required a date for final date of participation

    Some comments.

    DA has a plus and minus grading. 

    C- should it or should it not be on the syllabus.

    D counts toward local GE, but not for transfer.

    Certain classes should not be taken as pass/no pass. Students may have to retake the class.

    BP/AP 5055 - Enrollment Priorities

    The review of BP/AP 5055 - Enrollment Priorities revealed some mistakes the Senate made by approving groups to certain priority levels last year and this year. The enrollment priorities are set in these policies by law and apply to both colleges in the district.

    The board policy stated that the classes are open enrollment with restrictions like prerequisites.

    What did the De Anza Senate do wrong? 

    Last year, the Senate approved adding Rising Scholars to Group 1 priority enrollment. They were not legally allowed to do that. Recently, the policy draft added Rising Scholars and Student Parents to Group 1 which will make it legal.

    This year, the Senate voted to add MESA to Group 1. That is also now allowed. The policy draft put MESA students in Group 2 which is the same group as student athletes.

    In the APM meeting there was a discussion about Group 8 for Dually-enrolled high school students. Since the colleges are trying to encourage dual enrollment, perhaps they should put them up with new students. There was also discussion about removing reference to academic probation and to make sure that students on academic probation get the support and attention they need.

    1705 Resolution (cont)

    Resolution on Supporting Student Success and Access in Math and English

    Discussion continued on revising and strengthening the language in the resolution. Some changes came from the most recent version of the legislation in the CCC system. The current resolution needs to provide data and footnotes.The goal was to monitor the outcomes and mitigate the impacts of this law. 

    Resolution will return next week for more discussion. The intent was to finalize and approve this before the end of the quarter.
